Because each citation you enter includes formatting codes that you cannot see, it is very important to edit it in EndNote, not Word.

Simply editing or deleting a citation using the backspace or delete keys will disrupt the formatting and you may lose all your corrections the next time you reformatt the document.

How to Edit citations by using EndNote within Word

  • Open your EndNote Library and your Word document.
  • Highlight the citation to be edited by clicking on it.
  • Click Edit Citation button on Word's EndNote toolbar, or Tools > EndNote 9 > Edit Citations.

There are a number of options for editing citations.

To add text to the beginning of a citation, e.g. See also, use the Prefix: section.
To add text to the end of a citation, eg. page numbers, use the Suffix: section.

There are also two check boxes, Exclude author and Exclude year, which may be used when the Author's name, or the year, has been mentioned in the text of a paper and including the name or year again in the citation would interfere with the flow of the text.

The Edit Citation screen

Click on OK to insert these changes, you will need to reformat the bibliography to see the final changes.

The text inserted into the prefix and suffix locations will produce a formatted citation like this:
(for a contrasting view see Head, 1999 who has maintained this stance)

Note that spaces are important
